COSTI Immigrant Services is on the lookout for individuals who are passionate about supporting newcomers to Canada through the Language Instruction for Newcomers to Canada (LINC) program. As a vital element of our program, we are seeking an Administrative Support professional to provide essential services, ensuring that our students and clients receive the best possible assistance as they embark on their journey in a new country. Role Overview
The primary function of this administrative support position is to streamline the operations of the LINC program’s online services. As a team member, your duties will include responding to inquiries from students and employers regarding COSTI’s offerings, both over the phone and via various online platforms such as email and social media. You will be the first point of contact for clients, helping them navigate their educational needs and facilitating their access to necessary resources.
Key Responsibilities
Your daily tasks will be diverse and impactful, which include:
- Communication and Inquiry Response:Â Engage with students and employers through multiple channels to address questions and concerns about COSTI’s programs and services.
- Report Preparation:Â Compile and verify statistical data, ensuring accuracy for internal and external reporting.
- Document Management:Â Prepare a variety of documents such as letters and certificates, and maintain organized files both digitally and in hard copy.
- Client Management:Â Liaise with assessment centers for client intake and manage referrals, registrations, and waitlists efficiently.
- Technical Support:Â Assist new clients and staff in accessing virtual conferencing tools and the Learning Management System (LMS) to prepare them for virtual classes.
- Outreach and Marketing:Â Create materials for program outreach, updating information on web platforms and social media to reach a wider audience.
- Inventory Management:Â Monitor supplies and materials required for the program, ensuring everything is adequately stocked.
- Reception Duties:Â Occasionally assist at the Welcome Centre, providing frontline support as needed.
Qualifications
Ideal candidates should possess:
- Experience and Skills:Â High school graduation, at least one year of office experience, and a proficient typing speed of 40 words per minute. Familiarity with virtual meeting tools, Google applications, MS Word, Excel, and email is necessary.
- Communication Abilities:Â Strong written and oral communication skills are essential to articulate effectively with clients and colleagues.
- Administrative Competence:Â Good organizational skills with a clear understanding of office procedures and the ability to adhere to deadlines.
- Customer Service Sensitivity:Â A strong interest in the educational needs of newcomers, combined with excellent customer service skills.
- Technical Knowledge:Â Familiarity with systems like CIS, HARTs, and iCARE will be considered an asset.
Work Environment
This position is located at the Vaughan Welcome Centre, primarily requiring remote work but necessitating occasional in-person attendance for training and agency events. Candidates must be flexible to work during both daytime and evening hours, adapting to the needs of the program.
Duration and Compensation
The role will commence on August 26, 2024, and conclude on March 31, 2025, with a starting salary ranging between $25.63 and $26.87 per hour.
